We respect your privacy and are committed to full transparency with regard to how we collect, use, and share your personal data.

This includes the various ways in which you interact with us, including in person, by email or telephone, through our website, or through our pages on social networks. The privacy notice does not apply to Iconia Group’s employees.

Please choose contact details that lead to a person who is available and has been briefed on privacy matters. When being contacted by a data subject through these contact details, the request must be addressed in a timely and professional manner, under the risk of high penalties.

WHAT DATA DO WE COLLECT?

When you interact with us, for example, on our website, through our social media accounts, or by email; when you visit our showroom, our offices, our construction and/or renovation sites, or at events, we may collect your personal data.

 

When you contact or otherwise interact with us, we collect your name, email address, telephone number, physical address, and communications metadata such as your IP address, time signature, and potentially geolocation details as contact and identifying information.

 

When you enter our premises (showrooms or offices) or visit our construction/renovation sites, we may collect identifying information such as photographic images or video recordings of you, in addition to contact information.

 

When you interact with us on social media, we may collect information from your social media accounts, such as profiles, photos, videos, stories, comments and other content generated by you where our name and/or services are mentioned or appear, if you authorize a third-party social network to share your personal data with us, or when you use a social networḱ feature that is integrated with our website.

 

When you use our website, we collect various data including your IP address, location, browser type, operating system, source, duration of visit, pages viewed, etc. as usage information. Please also consult our cookie notice for further information on this.

 

In addition to the above sets of personal information, we may also collect and process additional information in relation to specific data subjects with whom we may interact in different capacities:

 

In the case of B2B clients, which may engage Iconia Group or commission the Group’s services, we will also collect and process additional contact and identifying information related to our persons of contact within the company you represent, such as your position and role within the company, your title, your employer’s name and contact details, the department with which you are affiliated within your company, or the names of your supervisors or colleagues, when needed. The same personal data may also be collected and processed when we work with you as contractors, (e.g. all types of individual contractors, suppliers, craftsmen, specialists, decorators, or interior designers), on construction and/or renovation projects.

 

In the case of B2C clients involved with Iconia Group on construction and/or renovation projects, we may collect and process information about your real estate property, such as deeds of purchase, building permits, or copies of real estate ownership documents, land registry extracts, photographs of the premises and properties, passes, codes, or keys to the properties, tax assessments, construction invoices and statements, insurance policies, plans and area calculations, various types of authorizations, and all documents related to development, construction, sale, and exploitation, as well as determining the value of furniture and real estate property.

 

In your business relationship with us, we may collect transactional information such as payment details (e.g. credit card or bank account numbers), purchase order number, and billing address. This applies mostly in the case of B2C clients, but it can also apply to certain B2B clients or contractors.

 

In the case of job candidates - when you send an unsolicited job enquiry or respond to an employment offer, we may collect professional information such as employment history, schools attended, references, or certifications.

 

For all of the personal information listed above, we collect these data directly from you when you provide them to us.

 

We sometimes collect clients’ personal data (in B2B and B2C relationships) through our network of trusted business introducers and commercial brokers.

 

In the case of B2C clients working with Iconia Group on construction and/or renovation projects, we may also collect your personal data through our trusted partners, our contractors,  or other third parties, such as lawyers, banks, real estate agents, brokers, condominium administrators, engineers, specialists, contractors from construction trades, government agencies, public services, and/or project management representatives/assistants.

 

We also use cookies and other tracking technologies (pixels, web beacons, and APIs) that collect certain types of information when you interact with our website or open our emails, such as IP addresses, location, browsing devices or preferences, operating system, source, length of visit, pages viewed, etc. For further information, please consult our cookie notice

 

We may collect personal data about you from third party data aggregators (e.g. Google), promotional partners, public sources and third-party social networking sites. Such information may include personal data as part of your profile on a third-party social network and that you allow that third party to share with us, pursuant to their rules.

WHY DO WE PROCESS YOUR PERSONAL DATA?

We process your personal data in order:

 

  • to respond to your queries regarding our goods and services;

  • to provide our services to you, in fulfillment of your engagement with us;

  • to fulfil your orders and purchases, including after sales service, when you purchase goods from us;

  • to carry out construction or renovation work on-site, when you engage us to carry out such work;

  • to manage your participation in events which we may organize or which we may help organize;

  • to carry out commercial transactions with you;

  • to provide our clients with relevant marketing and communications about our goods and services;

  • to communicate about our services, in particular by using photographic references, descriptions, plans, labels, and other information related to locations and properties;

  • to optimize user experience on our website;

  • to guarantee the security of our website, staff and visitors;

  • to respond to job enquiries, unsolicited or otherwise; 

  • to keep records of our activities to comply with legal and financial obligations, or to aid in dispute resolutions.

ON WHAT LEGAL GROUNDS DO WE PROCESS YOUR PERSONAL DATA?

Our processing of your personal data is lawful as long as there are legal grounds for doing so.

 

There are four main legal grounds on which we collect and process your data:

 

Collection and processing necessary for the performance of a contract or prior to entering into a contract

 

When you start a client or business relationship with us, for example by making an enquiry, getting in contact, etc., we process your contact and identifying information on a precontractual or contractual basis. Transactional information when you purchase goods from us or commission us to provide our services, your contact information (whether professional in a B2B relationship, or personal in a B2C relationship), and information to be processed in the course of our business relationship, such as information about your real estate property in the case of B2C clients, will be processed on the same basis, as well as professional information you provide to us when responding to a job offer or sending us an employment application.

 

Collection and processing on the basis of your consent

 

If you choose to subscribe to our communications and marketing materials, such as our Newsletter or mailing list, we will explicitly ask for your consent to process your personal data.

 

In order to communicate about our services and promote them effectively, we may also post photographs and videos of locations and properties or other information related to them, such as plans, budget references, lists and names of contractors, suppliers, craftsmen, specialists, decorators, or interior designers, on our website or social media, with your consent. Information from your social media accounts and photos taken at events are also collected on this basis.

Collection and processing necessary for the purposes of our legitimate interests or of a third party

 

Although as our client you might be in a contractual relationship for specific goods or services, we may want to let you know about different but related offerings that may be of benefit to you. In this case, it is in the legitimate interest of our business to process your contact information. Please note that in this case you have the right to object to the processing by contacting us at info@iconiagroup.com.

 

We also process identifying information to guarantee the security of our premises and construction and/or renovation sites, our IT systems, and our staff and clients.

 

Collection and processing necessary for compliance with a legal obligation

 

We as a business have legal obligations under both national and international law. In order to fulfil our obligations, we process your personal data for compliance purposes, record keeping, or for fiscal, employment or security reasons.

WITH WHOM DO WE SHARE YOUR PERSONAL DATA AND WHERE ARE THEY TRANSFERED?

We do not sell your personal data to third parties.

 

We may share your personal data with some of our providers and processors - or they may have access to some of your personal data, due to their specific role (e.g. our IT provider, our website hosting company, our CRM management services, our newsletter publishing and distribution services, and our fiduciary).

 

On construction and/or renovation sites, personal data are often shared between our clients and our various contractors (e.g. individual or corporate contractors, suppliers, craftsmen, specialists, decorators, or interior designers), and vice versa.

 

We may share your personal data with event partners or event organizers when we host, co-host, or otherwise contribute to the organization of a specific event.

 

We also share some of your personal data with authorities (e.g., public authorities, government agencies, public services), when necessary.

 

In the course of our operations, some of your personal data may be transferred between our offices in Switzerland and our operations in various territories with the European Union or Great Britain, and vice versa. We usually do not transfer your personal data outside of these territories or to countries which are not subject to an adequacy decision, except in cases when processing is necessary for carrying out the service (including delivery of the purchase, in case of sales of products) for which you engaged us. In particular, personal information in relation to our B2B and/or B2C clients may be transferred to any country worldwide where you require that services be provided by Iconia Group (e.g. services related to such projects as exhibitions, pop-up stores, window displays, etc.).

 

Moreover, and for your complete information, our Newsletter provider is Mailchimp, a company located in the United States. For lawful transfers to the United States, Mailchimp relies on a Data Processing Addendum, which includes the European Commission Standard Contractual Clauses and is part of the Data Privacy Framework Program (see: here). Our website hosting is Wix.com, a company located in Israel (a territory which benefits from an adequacy decision) and whose US-based entities are also part of the Data Privacy Framework Program (see: here). 

 

Our website also uses Google Analytics and other tools offered in the Google plug-in suite, such as reCaptcha, the Meta Pixel, as well as web beacons, pixels and APIs. Please note that by accepting these cookies, you consent to the transfer of your personal data to the United States. However, you can refuse them by using our preference center.

 

Finally, we may also use plugins on our website linking to social media platforms. The third-party platform's use of information collected from you (or as authorized by you) is governed by its own privacy policy and your settings on the service. If you do not wish that a third-party social network site attribute data collected via our website to your account on that social network, you must log out of the relevant social network site before visiting our website.

WHAT SECURITY MEASURES ARE IN PLACE FOR YOUR PERSONAL DATA?

We take appropriate technical and organizational measures to secure your personal data and to prevent the loss, misuse, or alteration of your personal data.

 

When the personal data that we process is no longer required for the purpose for which it was collected, or to meet legal obligations, they will be deleted or destroyed securely.

  • You have the right to data portability, that is, to receive the personal data in a structured, commonly used format. and to transmit those data to another controller without hindrance from us.

  • If you are not satisfied with how we process your data, you have the right to make a complaint to a supervisory authority.
